MARKETING AND PROPOSAL COORDINATOR

Position Summary

The Marketing and Proposal Coordinator supports the Director of Operations, Partners, and Project Managers by assisting with proposal preparation, qualifications materials, marketing resources, office administration, travel coordination, events, recruiting logistics, awards submissions, social media support, and routine administrative processes. This is a hands-on support role focused on accurate execution, clear communication, and timely coordination across internal teams and external contacts.

 Essential Responsibilities

Office Administration and Reception

  • Support day-to-day office administration, including supplies, kitchen inventory, mail, couriers, visitor coordination, and general office organization.

  • Answer phones, take messages, direct calls, and assist with front-office communications.

  • Assist in welcoming manufacturing representatives, vendors, clients, and other office visitors.

  • Provide general administrative support to the Director of Operations and project teams as needed.

 Proposal and Qualifications Support

  • Prepare and update qualifications packages, project pages, resumes, images, and related proposal materials.

  • Review RFPs and work with the Director of Operations in preparing checklists, draft responses, required forms, and proposal schedules.

  • Perform basic takeoffs of building plans to generate tables of room types and exterior spaces as needed for project.

  • Develop proposal drafts by incorporating scope information, project descriptions, staff information, and other required content for review by the Director of Operations.

  • Lead fee and scope preparation by gathering information, organizing inputs, incorporating comparable projects and prior fee data, and preparing draft materials for review by the Director of Operations.

  • Assist with client-facing correspondence related to proposals, qualifications, and follow-up materials, as coordinated by the Director of Operations.

 Marketing Resource and Business Development Support

  • Maintain and update marketing resources, including project descriptions, staff bios, image libraries, award lists, certifications and standard qualifications content.

  • Support business development efforts by maintaining contact lists, assist in researching opportunities, preparing outreach materials, and assisting with follow-up communications in coordination with the Director of Operations.

  • Draft and coordinate social media content in coordination with the Director of Operations, for review and approval by Partners.

  • Manage the award submission process by identifying deadlines, gathering project information, preparing submission materials, coordinating required input, and tracking each submission through completion.

  • Help ensure marketing and proposal materials are accurate, current, and consistent with firm standards under the direction of the Director of Operations.

 Travel, Events, and General Coordination

  • Coordinate travel logistics for Partners and designers in consultation with outside travel agents, and independently as needed.

  • Update internal travel documents and related coordination materials.

  • Maintain an up-to-date list of frequently traveled countries and associated visa requirements, and ensure all travelers have the appropriate documentation prior to travel.

  • Coordinate office events, internal meetings, and other firm activities.

  • Provide general coordination support for special projects and administrative initiatives led by the Director of Operations.

  • Perform other related duties as assigned by the Director of Operations.

 Qualifications

  • Strong organizational, administrative, and coordination skills.

  • Clear written and verbal communication skills.

  • Strong attention to detail and ability to follow established procedures accurately.

  • Ability to manage multiple deadlines and support several internal teams at once.

  • Comfort preparing polished proposal, qualifications, marketing, and client-facing materials.

  • Ability to review RFPs, organize requirements, and prepare draft response materials for review.

  • Familiarity with social media coordination, marketing content organization, or business development support preferred.

  • Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.

  • Experience with Adobe Creative Suite, Deltek, or similar design/project management tools is helpful but not required.

 Education and Experience

  • Bachelor's degree required and 1+ years of relevant experience preferred. The position is well suited for business, marketing, or arts majors.

  • Excellent time management skills and ability to balance short-term deadlines against long-term goals.

  • Excellent written and verbal communication skills.

  • Strong working knowledge of Microsoft Office (Word, Excel) and Adobe Creative Suite (Acrobat, InDesign) preferred.

Compensation: $55,000 - $65,000 Annually

Senior Lighting Designer

Overview: The Senior Lighting Designer collaborates with a team of project managers, junior lighting designers and other team members to develop lighting designs and corresponding documents that align with the client’s specifications and needs. This is an in-office position only, with no remote/hybrid work.

The Senior Lighting Designer provides design expertise and project management support in a team environment. Important skills & experience includes:

  • Project or Program Management experience

  • Excellent communication skills in order to understand design needs and specifications, including energy requirements, for lighting design projects.

  • Ability to develop a lighting design and all lighting design documents in response to client’s specifications and needs, while working on a team.

  • Familiarity with commercial lighting fixtures and ability to select appropriate fixtures for projects in order to meet the client’s requests.

  • Ability to develop architectural drawings that will ultimately be included in the final planset.

  • Understanding of whether or not lighting installations are occurring in compliance with the design documents and ability to work to rectify issues that arise in order to satisfy the client.

  • Travelling for meetings and site visits are expected, as required by the project.

Qualifications:·        

  • Degree in lighting design, architecture, or related field

  • Minimum 5 years of experience in the lighting design field.

  • Proficiency in AutoCAD, Revit, Adobe Creative Suite (Photoshop, Illustrator, InDesign), Microsoft Office, COMCheck, daylight design, energy code compliance, Bluebeam, etc.

  • Final aim and adjust on site.

  • Strong problem solving, research, and communication skills

Compensation: $70,000 - $90,000 Annually

Junior Lighting Designer

 Overview:

The Junior Lighting Designer collaborates with project managers, senior lighting designers and other team members to develop a design which combines the creative expertise of all team members.

The Junior Lighting Designer plays an integral role in supporting the design team by:

  • Helping analyze and select lighting from appropriate sources.

  • Producing architectural drawings using software tools such as AutoCAD or Revit.

  • Creating and working with models, mock-ups and prototypes.

  • Working with senior designers and project managers to provide excellent lighting design services to clients.

 Other duties may include client communication and traveling for meetings and site visits to ensure that the lighting installations are in compliance with the design documents.

 Qualifications:

  • Degree in Architecture, Lighting Design or related field.

  • 0-4 years of professional experience in lighting design, architecture, or a related field preferred.

  • Professional or academic experience with AutoCAD.

  • Adobe Creative Suite (Photoshop, Illustrator, and InDesign).

  • Microsoft Office.

  • Ability to use software tools to produce architectural drawings.

  • Basic understanding of lighting control systems.

  • Strong problem solving, research, and communication skills.

  • Professional or academic experience with Revit and AGI32 Software strongly preferred.

 Compensation: Starting at $55,000 annually.
