Administrative Assistant

Job Overview: GSA is seeking an administrative assistant to join its office on a full-time basis. The individual will support the General Office Team (GoTeam), with a broad range of responsibilities including travel accommodations, accounting, administrative, human resources, marketing, and operational functions.

Location: Washington, DC Office

Duties: The main responsibilities for this position include:

  • Coordinate frequent and challenging travel arrangements – both domestic and international

  • Manage office communications for all locations; coordinate office events; carry out general office maintenance

    Maintain project and client information in Deltek for Professional Services (CRM system), and use Deltek to report on and analyze key performance indicators (KPIs)

  • Support the Marketing and Proposal Coordinator with creating custom qualification packets for potential clients, drafting fee calculations and proposals, applying for design awards, and maintaining website and social media accounts

  • Assist with accounts receivable/payable by tracking office expenses and processing travel expenses

  • Maintain the office’s light laboratory inventory by processing all lighting samples coming in and out of the office and coordinating shipments with local lighting reps

  • Help with recruitment by creating job postings, registering for university career fairs, and tracking candidates’ application statuses

  • Train new staff on administrative procedures and office equipment

Requirements:

  • Bachelor's degree

  • Ability to prioritize multiple tasks and work amid interruptions

  • Attention to detail, resourcefulness, and superior organization skills

  • Strong communication skills, both verbal and written

  • Strong work ethic and willingness to take ownership for wide-ranging responsibilities.

  • Must be legally authorized to work in the United States.

Required technical skills: Microsoft Office Suite, Adobe Acrobat

Preferred skills: An ideal candidate would possess:

  • Experience working in Deltek or similar Customer Relationship Management (CRM) platform.

  • Experience with Adobe Creative Suites (InDesign and Photoshop)

  • Experience in archiving, cataloging or record/database management is a plus.

  • Interest in museums, design and the A/E/C (Architectural/Engineering/Construction) industries.

Marketing and Proposal Coordinator

Job Overview: GSA is seeking to hire a self-directed and high-energy Marketing and Proposal Coordinator to join the General Office Team (GoTeam). The position is one of five DC-based staff responsible for marketing and operational functions for a 25-person firm.

Location: Washington, DC Office

Duties: The main responsibilities for this position include:

  • Work with the Principal and project managers to review RFPs, complete takeoffs for architectural plans, develop fee structures, and draft high-quality proposals.

  • Monitor proposal pipeline on a regular basis, including following up with clients on outstanding bids, logging updates in Deltek, and analyzing win/loss rate.

  • Assist the COO with analyzing KPIs for past and present projects and forecasting revenue needs moving forward.

  • Manage all elements of marketing communication, including marketing collateral, standardized proposal content, award submissions, and portfolios.

  • Oversee digital marketing activities including, updating the company website, posting to social media, and monitoring online listings.

  • Assist with recruitment activities including posting open positions to job boards, helping screen candidates, and arranging interviews.

  • Work with the GoTeam to support design staff, including providing general administrative support, as needed.

 Requirements:

  • Bachelor's degree (preferably in marketing, communications, or a related field).

  • 2-3 years of professional marketing and/or business development experience.

  • Strong writing and editing skills, especially for technical documents.

  • Superior time management skills and ability to manage competing deadlines.

  • Excellent written and verbal communication skills.

  • Conscientious and flexible, with a strong work ethic and team-player attitude.

  • Must be legally authorized to work in the United States.

Junior Lighting Designer

Job Overview: GSA is seeking to hire a creative, ambitious Junior Lighting Designer to add to our collaborative design team. The work involves design and production for world-class museums, commercial and residential projects. Some travel is involved.

Location: DC Office

Duties: As we are hired by a multitude of clients, i.e. architects, museums, private individuals, the lighting designer collaborates with project managers, senior lighting designers and other team members to develop a design which combines the creative expertise of all team members. The lighting designer plays an integral role in supporting the design team by:

  • Helping analyze and select lighting from appropriate sources.

  • Utilizing software tools to produce architectural drawings.

  • Creating and working with models, mock-ups and prototypes.

  • Other duties may include client communication and traveling for meetings and site visits to ensure that the lighting installations are in compliance with the design documents.

Requirements: Lighting Design, Engineering and/or Architecture degree is required and/or one year of lighting design experience. GSA is willing to accept any equivalent combination of experience and education.

Required skills: AutoCAD, Adobe Creative Suite (Photoshop, InDesign, Illustrator), and Microsoft Office.

Preferred skills: AGI32 Software and Revit.

Senior Lighting Designer

Job Overview: GSA is seeking to hire a creative, ambitious Senior Lighting Designer to add to our collaborative design team. The work involves design and production for world-class museums, commercial and residential projects. Some travel is involved.

Location: DC Office

Duties: An ideal candidate would possess:

  • Excellent communication skills in order to understand design needs and specifications, including energy requirements, for lighting design projects.  

  • Ability to develop a lighting design and all lighting design documents in response to client’s specifications and needs, while working on a team.

  • Familiarity with commercial lighting fixtures and ability to select appropriate fixtures for projects in order to meet the client’s requests.

  • Ability to develop architectural drawings that will ultimately be included in the final planset.

  • Understanding of whether or not lighting installations are occurring in compliance with the design documents and ability to work to rectify issues that arise in order to satisfy the client.

  • Other duties may travelling for meetings and site visits is expected, as required by the project.

Requirements: Degree in lighting design, architecture, or related field and 2 to 5 years of experience in the lighting design field.

Required skills: Adobe Creative Suite (Photoshop, Illustrator, InDesign), Microsoft Office, COMCheck, daylight design, energy code compliance, Bluebeam, AutoCAD, Revit and final aim and adjust on site. Employer is willing to accept any equivalent combination of experience and education.
